How to Coordinate a Factory or Supplier Visit

How to arrange an on-site observation visit when you cannot travel to the supplier yourself.

When you cannot physically travel to a foreign country, sending an independent local representative to visit the supplier on your behalf is one of the most effective ways to mitigate fraud.

1. Define the Purpose of the Visit

You must give the local representative explicit instructions. An observation visit is usually designed to verify:

  • Does the factory actually exist at the registered address?
  • Is it currently operational and staffed?
  • Do they have the product you are purchasing in their warehouse?

2. Prepare the Request List

Provide the local representative with a checklist of evidence to collect:

  • Photos of the exterior building and signage.
  • Photos of the production floor.
  • Photos of the specific goods being discussed.
  • A live video call (e.g., via WhatsApp or Zoom) connecting you directly from the factory floor.

3. Informing the Supplier

Inform the supplier that your “local representative” will visit them next week to view the facilities and say hello. Red Flag Test: If the supplier is fraudulent or a hidden intermediary, they will immediately invent excuses to cancel or delay the visit. Legitimate manufacturers welcome local representatives.

Important Limitations: Observation vs. Inspection

You must clearly understand the difference:

  • Observation Visit: An independent professional goes to the location, takes photos, verifies the address, and sets up a video call. They act as your eyes and ears.
  • Accredited QC Inspection: A certified engineer (e.g., from SGS or Bureau Veritas) tests the tensile strength, chemical composition, or electrical safety of your specific batch of goods using calibrated tools.
